Part-time Position Location : Easthampton Company : Pioneer Valley Ballet Website : Description : ABOUT PVB: The mission of Pioneer Valley Ballet is to foster an appreciation of dance on a regional level for local audiences, to give dedicated young dancers the opportunity to perform at a pre-professional level and to provide all children the opportunity to experience the joys of movement and music through the study of classical ballet.

POSITION SUMMARY: The purpose of the Administrative Assistant is to provide day-to-day support to the organization through outstanding customer service to current and potential students and performing all clerical tasks necessary to maintain an efficient, professional and successful business. Responsibilities that support the PVB training program and performances include - customer service; letters, spreadsheets; basic bookkeeping; filing; screening telephone calls; communicating with clients, dancers, and parents (sometimes this includes handling difficult situations) and other staff members; attending meetings, and other duties as assigned.

TASKS INCLUDE: Serve as receptionist during normal business hours – answering inquiries via phone, email, mail, and in-personMaintain a professional and supportive front office area including assisting parents, students and visitors, updating bulletin boards as needed, and tidying the front lobby as neededAssist with and complete projects as directed by Executive Director (student registration, mailing lists, eblasts, marketing materials, box office, studio inventory, data entry)Coordinate Children’s casts for PVB productions as directed by Executive Director and Artistic Directors; Finance & General BusinessPrepare checks for Treasurer to sign as directed by Executive DirectorPerform Accounts Receivable, creating invoices for monies due, and sending notification when invoices are past due as directed by Executive Director

SCHEDULE: 20 hours/week, Mon-Thurs, 1-6pm. Saturday hours required approximately 4 months per year during rehearsals. HOURLY $11-$12.50 based on experience.

QUALIFICATIONS The ideal candidate has a genuine desire to communicate and work cooperatively with others as part of a team. Express ideas and information, orally or in writing, in a clear, concise and understandable manner, use active listening skills. She or he possesses excellent customer service skills (including experience interacting with parents and children), can pro-actively problem-solve, and is a self-starter. Skills Required: computer knowledge, including Outlook, Microsoft Word, Microsoft Excel, internet usage; ability to use common office equipment, including telephone, copier, fax machine and credit card machine; excellent organizational skills; excellent keyboard skills; willingness and ability to learn QuickBooks and Social Media outlets.
