The Graduate School of Education seeks a Human Resources Administrator (HRA) to be responsible for the full range of human resources administrative support. The incumbent is responsible for working with the HR Transaction Center to gather and submit all required information for input into the PeopleSoft system. The incumbent serves as the AXESS timecard administrator. The HRA provides support to the HR Manager and assists in providing all HR services to the School. The HRA is often the first point of contact for HR inquiries and serves as a resource to staff on HR policies, procedures, and practices. The HRA keeps the HRM informed of new issues, resolves basic issues, and refers complex issues to the HRM for resolution.
25%: HR Transaction Center Liaison: Gathers all required information for PeopleSoft input for all personnel actions including terminations, hires, leaves, salary changes, retroactive salary payments, position updates, and job reclassifications for staff and faculty, as appropriate. Prepares documentation for HR Transaction Center to perform PeopleSoft entry.
25%: AXESS Timecard Administrator: Input non-exempt time schedules, do historical edits, monitor accrual balances, troubleshoot AXESS issues for students, staff, temps, and casuals. Track overtime for non-exempt staff. Advise students, temps and casuals to enter time in AXESS.
10%: Events: Coordinate and manage all logistics for parties, staff meetings, and coordinate gifts and service awards for staff. Organize summer BBQ, December holiday party, quarterly social events, and other events as requested.
10%: Onboard new employees to the School, provide information packet, collect and verify I-9 information. Register staff for new employee orientation, , and set up and maintain personnel files. Maintain department orientation binders and other materials. Manage background check process for new hires.
10%: Tracking: Keep spreadsheets and track the following: Fixed term appointment end dates, six month trial period end dates, sexual harassment training database tracking. Send reminders to managers for reappointments and six-month review. Monitor Trovix candidate disposition data for job requisitions. Prepare reappointment and extension letters for employees.
10%: Enter Oracle Labor Schedules for all staff, students and contingent employees. Maintain organizational suspense account and process all Labor Distribution Adjustments for the School.
5%: Reporting: Process various payroll and staff reports, including salary reports and pay line changes using Oracle and ReportMart systems. Serve as payroll liaison for the School and resolve payroll and time-keeping related issues.
5%: Miscellaneous responsibilities: Work with webmaster on updates to staff webpage. Work with Bechtel to process visas as required.
Two year college degree required; BA, BS preferred
Demonstrated ability to maintain confidentiality and effectively handle highly sensitive and personal information with good judgment and discretion
Ability to work independently with minimum supervision. Must show initiative and consistent follow through and complete projects and assignments within determined timeframe.
Must be a good communicator, with the ability to explain processes both orally and in writing.
Must be well organized and able to meet critical deadlines and prioritize projects appropriately.
Strong computing skills in a PC environment (Excel, Word, PowerPoint, Microsoft Office Suite is required.
Final candidate will be required to successfully pass a background check.
